How it fits together

Folk keeps handling clients and pitches. The new platform handles partners, projects, documents and ratings. The dashboard joins both so leadership sees pitch to delivery in one screen.

Folk CRM Clients · Deals · Pitch stages (stays as is) auto sync Partner Platform Partner directory Briefs & hiring Projects Quality check Documents Ratings React web app · Supabase database (India) Dashboard Leadership · Markets · Gaps Emails & reminders Rating requests · Follow-ups

Timeline and milestones

Phase 1 builds every module in 4 weeks, with a demo at the end of each week. The iteration phase is a weekly feedback loop on real usage until go-live.

Modules and user flows

Left navigation: Dashboard, Pitches, Briefs, Projects, Partners, Market Discovery, Feedback, Admin. Market and service filters stay on every list.

Partners

UC1UC3
Market lead · Pitch team · Operations
  1. Quick-add form: name, phone, market, city, language, skill tags, price band, referrer
  2. System warns on duplicates (GST, phone, similar name)
  3. AI suggests tags; user confirms
  4. Saved as New · Unverified, with an owner
  5. Enrich later: people, assets, rate card, NDA/IP, AI tools, awards, documents
  6. Operations marks Verified
  7. Directory: filter by market, language, tag, format, price, rating

Market Discovery

UC2
Market lead · Leadership
  1. Open market; see bench heatmap of Primary, Backup, Trial per skill
  2. Red cell (no partner) creates a discovery task with owner and due date
  3. Log referrals: Lead → Contacted → Added → Verified → Trial
  4. Track targets, completeness and last contact per market
  5. Weekly or fortnightly market review uses this view

Pitches (Folk-linked)

UC3UC4
Pitch team · Leadership
  1. Deal created in Folk appears automatically
  2. Add participants, pitch cost (internal / external) and cost owner
  3. Shortlist partners from the directory
  4. Stage and outcome follow Folk; "Open in Folk" link on every pitch

Briefs & Hiring

UC6UC7UC9
Strategy, creative, market, commercial leads
  1. Create brief: client, objective, budget, timeline, deliverables by market, leads per language
  2. Pick approach: one idea adapted, native per market, or mix
  3. Language kit attaches automatically
  4. Brief approved internally
  5. Hire by rule; reason and decision owner saved
Rules: routine → Primary · mid-size / new category → 2–3 quotes + approach note · new partner / high stakes → paid test (never free work) · no hiring before brief approval

Projects

UC5
Operations · Leadership
  1. Won pitch converts to a project linked to the Folk deal
  2. Client contract and terms attached
  3. Assign partners: role, scope, cost, tax, milestones, PO
  4. Scope and cost changes saved as dated updates
  5. Mark complete with final cost; feedback starts

Quality Check & Language Kits

UC8UC9
Market lead · Native reviewers
  1. Partner output uploaded per market
  2. Native reviewer assigned; writer can't review own work
  3. No internal reviewer → add paid external reviewer
  4. Approve or request changes; revision rounds counted
  5. "Ready for client" unlocks only after approval
  6. Market lead updates the client's kit (tone, words, banned topics, examples); versions kept

Feedback & Ratings

UC10
Rating roles · Operations
  1. Project complete → rating emails go out with a form link
  2. Each role answers its own area: brief, idea & craft, language, commercials
  3. Also: quality, key people, ease of working, revisions, on-time, would rehire; N/A on every question
  4. Reminders, then escalation to owner
  5. Ratings show in partner history; no reply ≠ bad rating

Dashboards, Exceptions & Admin

UC11UC12UC13UC14UC15
Leadership · Operations · Finance · Admin
  1. Leadership: pitches by market, cost, conversions, missing PO/contract, gaps, ratings
  2. Opportunity to delivery: one deal → partners, scope, cost, documents, status
  3. Exceptions list with owner and due date
  4. Documents (GST, contracts, POs) visible by role, every access logged
  5. Admin: users, roles, tags, Excel import with duplicate report, sync health, export

Acceptance criteria

Each milestone is demoed on a test link. You run these checks; it is complete when all pass and you sign off.

M1 · End of week 1

Discovery & design

  • Every field in the requirement maps to the data list
  • Tags, roles and permissions approved
  • Folk API returns a sample deal (or fallback agreed)
  • Wireframes walk through "find and hire a Telugu writer"
  • Market leads fill the Excel sheet using dropdowns; duplicates highlighted
M2 · End of week 2

Partner master

  • Add a partner in under 2 minutes
  • Duplicate GST / phone warns before save
  • Filters (market + language + skill + price) return the right partners
  • Each role sees only what it should
  • Excel imports with a duplicate report and matching totals
  • GST / contract / PO files visible only to approved roles; versions kept

  • One project with 3 partners, one partner on 3 projects, no duplicate records
  • Hiring blocked until the brief is approved
  • Heatmap shows Primary / Backup / Trial gaps by market
  • Mid-size job needs 2–3 quotes; paid test needs a fee
  • Language kit attaches to brief; version history visible
M4 · End of week 4

Quality & insight

  • Output can't go to client until a different native speaker approves
  • Completed project sends role-wise rating emails with reminders
  • Unanswered feedback never counts as a bad rating
  • Open a deal and see owner, cost, partners, scope, contract and PO in one flow
  • Missing PO, overdue feedback, sync errors appear in exceptions with an owner
  • AI tag suggestions need user confirmation
M5 · Iteration phase, weeks 5–8

Feedback loop & go-live

  • Agreed feedback items from each weekly loop delivered and re-tested
  • Real South-market data in the system, approved by the business owner

Do you need ClickUp or Folk separately?

Short answer: keep Folk for sales, and you don't need to buy ClickUp for this work. The platform already covers projects, tasks, owners and due dates. If your team already uses ClickUp, we connect it; anything extra can be built in after go-live.

Option A

Separate tools, connected

Folk + ClickUp + our platform, synced

  • Good if ClickUp is already the team's daily task tool
  • Project tasks pushed to ClickUp through its API
  • Cons: 3 places to check, 3 subscriptions, more sync to maintain
  • Add-on: quoted separately (about 1 week of work)
Recommended

Folk + our platform

Folk for sales; tasks and projects inside the platform

  • Folk stays for clients and pitches; no retraining for the sales team
  • Projects, partner tasks, owners, due dates, reminders and exceptions already in the build
  • One place for delivery; no ClickUp licence needed
  • Included in this proposal
Later option

Everything built in

Add a sales pipeline module and retire Folk

  • One system for sales, delivery and partners; full data ownership
  • Removes Folk subscription and API plan limits
  • Best after 2–3 months of real usage, once workflows settle
  • Scoped separately after go-live

Our suggestion: start with Folk + the platform. Decide on a ClickUp link only if the team already lives in it, and review building sales in-house after 2–3 months of use.
